Vincent Wildlife Trust Privacy Policy

VWT is committed to protecting your privacy and security. This policy explains how and why we use your personal data.

Keeping in touch

We need to store your personal data (such as name and email address) so that we can get in touch to thank you for donations, to send you newsletters and information about ways in which you can support us (if you have requested that we do so), including volunteering and fundraising. At any point you can request to see what information we hold about you and, if necessary, have it corrected or deleted.

Use of personal data

We only use your personal data (contact details) with your consent, and we’ll only use your information for the purpose for which it was collected (or for closely related purposes). We will never sell your personal data and will only ever share it with organisations we work with where necessary and if its privacy and security are guaranteed (for example, if you register to attend an event being jointly organised by us and another charity).

If you are a volunteer, then we may collect additional personal information about you (for example, details of emergency contacts, medical conditions, photographs, etc). This enables us to meet our duty of care with the provision and management of volunteering activities on behalf of the Trust. Photographs will only be stored or used in our marketing materials if we have received your consent to do so.

VWT ‘Marketing’ includes news and information about our work, volunteering opportunities, events and activities, fundraising and appeals.

We may use a data screening agency to help us obtain funding by identifying people with a particular interest in our work, or ability to provide us with support at a higher level. As a small charity, this can help us to make a real difference to the wildlife we support – but if you would prefer for your data to not be used in this way, please contact us on hr@vwt.org.uk or 01531 636441.

Data security

We employ a variety of physical and technical measures to keep your data secure and to prevent unauthorised access, use or disclosure of your personal information. We delete or destroy all records in accordance with our Data Retention Policy when it is no longer applicable to store them.

Complaints

If you wish to raise a complaint on how we have handled your personal data, you can contact our Operations Manager at hr@vwt.org.uk, or telephone Head Office 01531 636441 (Operations Manager) and we will investigate the matter.

If you are not satisfied with our response or believe we are not processing your personal data in accordance with the law, you can complain to the Information Commissioner’s Office (ICO).
